Committee Responsibilities and Duties
- Train neighborhood committe members
- Review all submitted information from Neighborhood Site Identification Committee
to select sites to be evaluated by technical advisors
- Evaluate all information and make site recommendations to
Steering Committee (incorporating Technical Evaluation data)
Neighborhood Committee
- Provide neighborhood representation to the following committees:
Hospitality Committee
Professional Services Committee
Publicity Committee
Site Selection Committe
Steering Committee
Supplies/Material Committee
Warehouse/Distribution Committee
To canvas designated area with fliers
To physically identify properties that fit within the property
eligibility guidelines
To complete Initial Intake form and income verification for evaluation
of homeowner eligibility by Christmas in October administration
Identify house workscopes on approved proposed candidates using
House Evaluation form and photographs
Submit to Site Selection the Initial Intake forms, House Evaluation
forms, preliminary workscope, photographs of proposed interior
and exterior work, and homeowner profile on all proposed neighborhood
sites
- Recruit Area Coordinators (1 per 4 properties) and Liasons (1
per property) to be in place by July to participate on both Christmas
in October Saturdays
- Create and staff a Neighborhood Warehouse Committee
- Locate neighborhood warehouse site (700 - 1000 S per 10 properties,
with phone capabilities) and provide staff (5 people) for both
Christmas in October Saturdays
- Accept and coordinate supplies one week prior to project dates
- Arrange for the use of trucks (2) for Christmas in October program
days
In conjunction with Christmas in October solicit business in your
neighborhood professional services for service donations
Parking locations for volunteers
- Assess needs, develop and procure necessary equipment to satisfy
communication needs for the two days of Christmas in October
- Develop plan and execute hospitality for warehouse personnel
on Christmas in October workdays and a reception in November for
Christmas in October volunteers and donors
- Develop list of volunteer professional services such as plumbing,
electrical, roofing, and tree trimming
- Solicit professional service donations
- Make preliminary contacts for professional services with work
to be scheduled by Program Coordinator
- Develop year round publicity plan for Christmas in October
- Coordinate all publicity activities on days of Christmas in
October
- Recruit personnel to accompany media
- Advisory to program
- Solicitation of funds, volunteer groups, and professional
serices and supplies
- Management of budget, volunteer tracking, and supplies and
warehouse
- Soliciting donations of supplies and materials
- Obtain bids for any supplies and material to be purchased
- Coordinate with Program Coordinator the purchasing and delivery
or pickup of supplies
- Obtain bids for scaffolding rental
- Develop list of wholesalers of supplies when possible
- Inventory the supply warehouse in April
- To organize supplies in the main warehouse one month prior
to the days of Christmas in October
- To staff the warehouse on team "shopping days"
- To assist neighborhood committees in organizing satellite
warehouse
- To receive scaffolding and ship scaffolding back to supplier
at the end of the project
- To staff the warehouse on the two days of Christmas in October,
being responsible for supply procurement, runners, and scaffolding
- To inventory the main warehouse at the end of the project
- Provide a complete pictorial display of Christmas in October
projects. To include before and after photos, team photo, House
Captain photo, and several individual candids.
- Attend orientation, pre and post Christmas in October meetings
- To evaluate and make feasibility recommendations on all proposed
site workscopes as identified by Site Selection Committee
- Develop supply list for each property
- Support and provide assistance to House Captains in their
roles as coordinators of work sites
